Terms and conditions

Dear Guests and Colleagues:

Calanoa Amazonas (RNT 22861) is an ecolodge located within a natural reserve in the Colombian Amazon.

“Client” refers to all individuals named on the reservation form who intend to book with Calanoa Amazonas.

A “product” is any service sold and offered by Calanoa Amazonas. All clients will be considered to have read, understood, and accepted all booking conditions upon registering for a Calanoa Amazonas product.

If the client is booking on behalf of a group, it is the responsibility of the booking client, who accepts these terms and conditions, to ensure that all other members of the group have read and agreed to their contents.

Cancellation Policies

  • If the cancellation is made at least 30 days in advance, 90% of the reservation value will be refunded.
  • If the cancellation is made between 10 and 29 days before arrival, 30% of the reservation value will be refunded.
  • If the cancellation is made between 7 and 9 days before arrival, there will be no refund, but the guest may reschedule their reservation, adjusting to the prices of the new date.
  • If the cancellation is made less than 24 hours in advance, the reservation may be used on another date, adjusting to seasonal prices and with a 50% penalty fee.
  • No refunds will be given in case of trip interruptions, high season (Easter, July 1 to September 5, December 16 to February 1), government decisions, catastrophes, or issues affecting passenger mobility.
  • All refunds are subject to a 10% administrative fee plus 4 per thousand tax.

Terms & Conditions

The plan is priced per person per night.

Includes:

  • Accommodation
  • Two activities per reserved night
  • Spanish-speaking guides and transportation for the activities
  • All meals from dinner on the arrival day to breakfast on departure day
  • Water, tea, coffee, and natural juices

Not Included:

  • Transfer Leticia-Calanoa and Calanoa-Leticia
  • Additional activities
  • Alcoholic beverages
  • Guides in other languages
  • Medical or accident insurance
  • Entrance fees to Puerto Nariño, Reserva Altamira, Fundación Maikúchiga
  • Workshops and additional activities

Check-in & Check-out Schedule

  • Check-in: Between 2:00 PM – 5:00 PM
  • Check-out: 11:00 AM

The guest must vacate the property before the check-out time. If the guest remains after this time, the host has the right to charge an additional fee according to established rates.

The host reserves the right to enter the property and remove the guest’s belongings after check-out time to prepare the accommodation for the next guests.

Minors

Children are very welcome!

  • 10% discount for children under 12 years old.
  • Children under 3 years stay for free.

Guests accompanied by minors must supervise them at all times and must never leave them unattended. The guest is fully responsible for any accidents the child may have on the property.

If a guest is accompanied by minors who are not their own children, the reservation holder must provide the necessary information.

Registration

  • The guest must indicate the exact number of people staying on the property.
  • Only registered guests are allowed on the premises, and we reserve the right of admission.
  • Parties or events are strictly prohibited.
  • The guest agrees that their stay is only for the number of days specified in the reservation and cannot establish residency on the property.

Noise Policy

Guests must maintain a respectful and considerate attitude toward staff, guests, and neighbors. Conversations and music volume should be kept moderate to avoid disturbing others.

Energy Conservation

Since this is a remote destination, Calanoa operates with solar panels.

  • Guests are kindly asked to conserve energy to ensure sufficient lighting in their cabins at night.
  • If electricity is needed throughout the night for health reasons, guests should consider bringing batteries.

No Smoking, No Illegal Substances, and No Weapons

  • Smoking is strictly prohibited on the property.
  • A significant recovery fee will be charged to guests who violate this rule to restore the property to a smoke-free condition.
  • The possession of any type of weapon or illegal substances is also strictly prohibited.

Inspections

The property manager has the right to enter the cabin with prior notice to the guest, in order to perform cleaning, repairs, or general maintenance.

Damage Policy

  • The guest must leave the cabin in good condition and will be responsible for any missing or broken items.
  • The guest assumes responsibility for the actions of all other guests in their reservation.
  • Any damage caused by guests to objects, furniture, or property must be repaired or replaced at the guest’s expense.
  • If keys are provided and the guest loses them, a replacement fee will be charged.
  • If a guest realizes they forgot an item after check-out, a service fee and shipping costs will be charged to return it.

Pets

For ecosystem conservation reasons, Calanoa does not accept pets on the premises.

Transportation to the Reserve

Calanoa is 60 km from Leticia (about 1.5 hours by boat).

Public Transport Boat Schedule

  • Leticia – Calanoa: 7:00 AM, 9:00 AM, 12:00 PM, 2:00 PM
  • Calanoa – Leticia: 7:00 AM, 9:00 AM, 1:30 PM, 3:30 PM

Private Transport Boat Schedule

  • Schedules adjust to flight arrivals.
  • The last boat departs at 3:30 PM.

Activities

Calanoa offers river, jungle, and cultural activities. Guests are encouraged to check the activities menu on our website: www.calanoaamazonas.com.

Hotel Events

Calanoa is a meeting space and can organize events and workshops tailored to group interests.

Accessibility & Special Needs

  • All visitors must be able to get in and out of boats and climb stairs.
  • A cabin with easier access is available for guests with restricted mobility.
  • Activities are mainly observational, but humidity and heat should be considered.

Yellow Fever Vaccine

The vaccine is not mandatory. Please consult your doctor if in doubt.

Emergency & Medical Assistance

  • In case of a medical emergency, hospitals are available in:
    • Puerto Nariño (40 minutes by boat)
    • Leticia (1.5 hours by boat)
  • Travelers must have international health insurance. Travel agencies must provide medical travel insurance for their passengers.

Personal Information Use

Due to migration and insurance requirements (since we are located at a three-border region), we require passport details, full names, and birth information for all travelers.

Force Majeure Events

No refunds will be issued due to government or airline decisions affecting passenger mobility or other force majeure events. However, the reservation may be used on another date, adjusting to seasonal prices.

Wildlife Protection & Cultural Respect

  • Wild animals are visited only in their natural habitat and are not exposed to direct human contact to prevent vulnerability and technological abuse (e.g., “animal selfies”).
  • Photographs or comercial images of indigenous communities must have their permission and must be fairly compensated to avoid cultural exploitation.

Visits to Indigenous Communities

Any photographs or images intended for commercial use must be authorized by the individual and fairly compensated, in order to avoid cultural exploitation of the region.

Insect Bites & Wildlife

  • As Calanoa is immersed in nature, we are not responsible for insect bites or any reactions to local fauna.
  • We recommend using repellent and appropriate clothing for comfort.

Gastronomy & Sustainability

  • Local cuisine is a primary source of income for Amazonian farmers and indigenous communities.
  • To support sustainable tourism, our menu only features regional products, offering guests an authentic culinary experience while reducing environmental impact.

Liability Waiver & Indemnification

  • Personal belongings should never be left unattended.
  • The host is not responsible for theft or loss of valuables (jewelry, money, documents, etc.).
  • Guests must secure their belongings when leaving the property.
  • Neither the host, owner, nor representatives will be responsible for injury, loss, illness, or damage to any guest or their property.

Protection of Minors Against Sexual Abuse

As per Article 17 of Law 679 of 2001, sexual exploitation of minors is legally and administratively punishable in this country.
